Job Description:

Body Shop Receptionist and Accounts Receivable Specialist​ 

We are seeking an organized, professional, and customer-focused individual to join our team as a Body Shop Receptionist and Accounts Receivable Specialist. This dual-role position combines front desk responsibilities with managing financial transactions, ensuring smooth operations and excellent customer service in our body shop.

 

Key Responsibilities: Greet and update customers, answer phones, handle payments and update route sheets.

 

Receptionist Duties:

Greet customers and visitors with a friendly, welcoming attitude, providing a positive first impression of our shop.

Answer and direct phone calls, emails, and inquiries professionally and promptly.

Schedule appointments for vehicle repairs, estimates, and follow-ups.

Maintain an organized and clean front desk area.

Assist customers with paperwork, insurance forms, and other documentation related to vehicle repairs.

Communicate effectively with customers about their vehicle’s status and address questions or concerns.

Coordinate with technicians and staff to ensure smooth communication between departments.

Accounts Receivable Duties:

Accurately prepare and issue invoices for completed services.

Track and follow up on outstanding customer payments.

Reconcile accounts receivable records and resolve discrepancies.

Process payments via cash, checks, and credit card transactions securely and accurately.

Communicate with insurance companies regarding claims, approvals, and payments.

Maintain detailed records of all financial transactions and update customer accounts in the system.

Generate and provide financial reports as required by management.

Qualifications:

 

High school diploma or equivalent; additional education or certification in office administration, accounting, or related fields is a plus.

Proven experience in a customer service or receptionist role, preferably in the automotive or body shop industry.

Basic knowledge of accounts receivable processes, with experience in billing or collections preferred.

Proficiency in office software (e.g., Microsoft Office Suite) and familiarity with accounting or shop management software.

Excellent communication, interpersonal, and organizational skills.

Ability to multitask and handle a fast-paced environment effectively.

Detail-oriented and capable of maintaining confidentiality regarding financial and customer information.

Work Environment:

 

Primarily office-based in a professional and customer-friendly body shop environment.

May occasionally interact with the shop floor to coordinate updates with technicians.

Compensation:

pay is based on experience
